Plain answers to the questions that come up most for the sales and stores we work with: how the wholesale program works, GST, equipment loans, and closing your account.

How the wholesale program works
Wholesale is optional and controlled by you. You turn it on per sale or store in your dashboard policies, including your minimum price and any auto-accept threshold, and you choose which flagged books go into a batch. Nothing obliges you to sell us anything, and nothing stops you from selling any book elsewhere.
Quotes and locking prices
The app quotes what we will pay per book at scan time, but that price is only indicative until your batch is submitted. Each book must be in a submitted batch within 7 days of its scan, or the offer goes void and needs a fresh scan at the current rate. Once submitted, the batch's locked prices hold for 7 days while collection or drop-off is arranged, which is why exchanges run on a weekly basis.
Acceptance and payment
We buy quoted books when the batch is delivered or collected and passes inspection (correct edition, condition standards met, no water damage, mold, heavy markings, missing pages, or counterfeit copies). We pay the Organization (never an individual) within 7 days of acceptance, by Interac e-Transfer to the Organization's email, or by EFT or cheque for larger amounts, as set out in your Schedule B. Declined books remain yours and are returned with the next exchange, or donated or recycled at your direction.
GST, and who has to register
You are responsible for your own tax position. Records of what we buy from you and pay you are kept, and you get an itemized invoice for every purchase.
If your organization is GST-registered, you must give us your GST number in Schedule B and keep it current. Where a sale to us is a taxable supply by a registered organization, GST is added on top of the locked batch prices and shown on the invoice against your GST number. We recover that GST as an input tax credit, so it costs neither side anything.
Many charities' sales of donated goods are GST-exempt; whether that applies to you is your determination to make with your accountant. There is no BC PST on books.
Equipment loans
If we lend your organization barcode scanners or other equipment, Schedule A of your agreement lists the units loaned and the terms agreed with you. Unless Schedule A says otherwise, loans are ongoing at Bookfox's discretion, and units are returned within 14 days of our request. The equipment stays Bookfox property throughout.
Normal wear and honest failures are on us. If a unit is lost, stolen, damaged beyond normal wear, or not returned within 14 days of being due back, the Organization pays the replacement cost stated in Schedule A, capped there.
Closing your account
You can end your Organization Agreement at any time by written notice to [email protected], or by closing your account through the dashboard. Here is what happens:
- Your access ends. Dashboard access ends when the account closes.
- Final payout of accepted batches. We still pay you for every batch we already accepted, at the locked prices.
- Return loaned equipment. Any scanners or other equipment on loan come back within 14 days, per Schedule A.
- We handle your data. Data is retained and deleted in accordance with applicable law and our privacy policy.
Condition standards
We buy books that match their scan and are in honest resale condition. Normal used-book wear is fine; water damage, mold, heavy marking, missing pages, a broken binding, and counterfeit copies are not.
